How to Save Money on Custom T-Shirts for School Trips, Hen Parties and Family Events

Sharing is caring!

If you want custom T-shirts for a group without spending a fortune, there are three things that make the biggest difference: collect everyone’s sizes before you order, stick to one simple design, and order early enough to avoid unnecessary rush charges.

Those three decisions will usually save you more than hunting around for a discount code.

Matching T-shirts are popular for everything from school trips and hen dos to family reunions, birthday weekends, charity events and memorials. The problem is that they normally come on top of an event that is already costing everyone money.

Research from Zurich Municipal in 2025 found that the average school day trip was costing parents around £30, while the average residential trip cost £412. Almost one in ten parents surveyed said their child had missed a recent school trip because it was too expensive.

Wedding-related costs are putting pressure on budgets too. In July 2026, research from the Money and Pensions Service found that one in three UK adults had turned down a wedding-related event such as a hen do, stag do or engagement party because of the cost. Guests were still spending an average of £613 attending a wedding or civil ceremony.

So the last thing anyone needs is an unnecessarily expensive T-shirt order on top.

What Actually Affects the Price of a Printed T-Shirt?

Before trying to save money, it helps to understand what you are actually paying for.

Most custom clothing quotes are influenced by the same things.

Quantity

The more shirts you order, the lower the price per shirt will usually become.

As a current example, The T Shirt Man lists 10 custom printed white express T-shirts for £100 including VAT, while 50 cost £300 including VAT. That takes the cost from £10 each down to £6 each.

It is therefore worth getting everyone’s order together rather than letting people buy separately.

Where You Want the Print

A single print on the front or back is normally cheaper than printing on the front, back and sleeves.

You might only be adding a couple of pounds per shirt, but multiply that by 30 people, and it quickly becomes a noticeable amount.

The Printing Method

This is where the old advice that “more colours always cost more” needs a little explanation.

With traditional screen printing, every colour can require additional setup, so keeping a design to one or two colours can save money.

Digital techniques such as DTF printing work differently and can print colourful artwork without needing a separate screen for every colour. For smaller groups or detailed artwork, digital printing can therefore make more sense.

The T-shirt Itself

A straightforward cotton T-shirt will normally be cheaper than an organic, heavyweight or premium fashion-fit garment.

White is often one of the cheapest garment colours too.

How Quickly You Need Them

Leaving everything until the last minute limits your options.

Some printers offer express or next-day services, but planning ahead gives you more freedom to compare prices and use standard production and delivery.

Setup and Artwork Charges

Always check what is included.

Some printers charge separately for artwork preparation, screen setup, or amendments, while others include basic artwork help in the price.

Get Everyone’s Sizes Before Asking for a Final Quote

This sounds obvious, but incorrect sizes are one of the easiest ways to wreck a carefully planned budget.

If three people guess their size and get it wrong, paying to replace those shirts can wipe out whatever you saved by shopping around.

The easiest solution is a shared Google Form, spreadsheet, or WhatsApp list.

Collect:

  • Name
  • T-shirt size
  • Adult, fitted, or children’s fit
  • Any special requirements

Send everyone the printer’s size guide at the same time.

For children’s T-shirts, it can be more reliable to ask parents to measure a T-shirt their child already owns rather than simply choosing by age. Children’s clothing sizes can vary considerably between brands.

Set a firm deadline too.

Give everyone a date, send one reminder, and then place the order. Waiting for one person to reply can turn an organised two-week order into an expensive last-minute job.

It is also sensible to collect everyone’s money before placing the order. Otherwise, the organiser often ends up paying upfront and spending the next fortnight chasing people for £10 or £15.

Is It Cheaper to Print on White T-Shirts?

Usually, yes. White garments tend to be among the least expensive options offered by printers.

Printing onto darker garments can also require additional processes depending on the print method being used.

If white isn’t right for the event, choosing one colour for everybody is the next best option.

Letting ten people choose ten different garment colours can make ordering more complicated and may prevent you from taking advantage of simple package prices.

There are a few other easy ways to keep the cost down without making the shirts look cheap.

Printing a strong design in one position on the front or back can look far better than filling every available space.

Keep the design simple, as simple artwork is generally quicker to approve and easier to print well.

Avoid individual names unless you really need them. Personalising every shirt creates more work and increases the chance of mistakes.

For a hen party, for example, you could make just the bride’s shirt different rather than personalising all 15.

Send decent artwork. If you have a high-resolution PNG, PDF or vector version of the logo, send it. Poor-quality screenshots and tiny JPEGs may need to be recreated before they can be printed.

School Trips: Keep It Cheap, Practical and Fair

For school groups, matching T-shirts can be practical as well as fun.

Putting children in the same bright-coloured top makes a group easier for teachers and helpers to identify quickly at busy attractions, museums and stations.

If your class is heading to the capital, this can be particularly useful alongside planning a day out in London with kids without blowing the rest of the school-trip budget.

There is no need for an elaborate design.

A bright shirt with a simple school or PTA logo is enough.

You could save even more by leaving off the year and the name of the individual trip. Instead of becoming a one-use souvenir, the same tops could potentially be reused for sports days, sponsored walks, future school trips and other events.

A school or PTA-owned set that is washed and reused could cost far less over several years than asking parents to buy another shirt for every trip.

And keeping optional extras affordable matters.

Department for Education guidance sets out the rules around charging for school activities and voluntary contributions, including circumstances where schools cannot make participation dependent on a voluntary contribution.

If the PTA can fund reusable shirts through fundraising or sponsorship, it also means every child can be included regardless of their family’s circumstances.

Hen Parties: Get the Matching Look Without Paying “Hen Party” Prices

Type “Team Bride T-shirt” into a marketplace and the individual price can look cheap.

The trouble is that once you multiply it by 10, 15, or 20 people, suddenly you are spending a considerable amount on something half the group may never wear again.

For larger groups, compare those ready-made prices with an ordinary custom T-shirt order.

Buying your own group design can sometimes work out similarly per person while giving you much more control over what the finished T-shirt actually looks like.

A few things make hen T-shirts much easier on everyone’s budget.

Include the shirt in the original per-person cost when you first announce the weekend. Nobody wants an unexpected £20 request appearing in the WhatsApp group five days before payday.

Choose a decent everyday T-shirt rather than something covered from shoulder to hem in novelty text.

Make the bride’s top the only different one. A different shirt colour or one extra print gives her something special without personalising every garment.

And think about the weather. If it is a winter weekend, ask whether everybody would rather have a sweatshirt or hoodie instead of buying both a T-shirt and another layer.

Family Reunions, Big Birthdays and Memorial Events

Family events are a little more complicated because you may be ordering clothing for everyone from toddlers to grandparents.

Look for a T-shirt range available in both adult and children’s sizes. That makes it much easier to keep everyone in the same colour and design.

The principle is similar to matching Christmas jumpers: one coordinated look gives you brilliant family photographs without needing to make every garment different.

Memorial and celebration-of-life T-shirts are different because you do not always have the luxury of planning weeks in advance.

In those situations, speed genuinely matters.

How Far in Advance Should You Order Custom T-Shirts?

For a straightforward group order, aiming for around two to three weeks before the event is sensible.

That gives you time to:

  • collect everybody’s sizes,
  • finalise the order,
  • receive and check the artwork proof,
  • make any necessary changes,
  • and allow time for production and delivery

Ordering early also means you have more suppliers and delivery options available.

There will inevitably be occasions when that isn’t possible.

A school may confirm an event late. The final hen party numbers might change. A birthday plan may come together at short notice, and funerals or memorial events obviously cannot always be planned weeks ahead.

If you are genuinely caught short, a specialist next-day T-shirt printing service can be useful.

For urgent orders, keep everything else as straightforward as possible. Choose one garment, one design, and ideally one print position. Send usable artwork and approve the proof as soon as it arrives.

The more changes you make at the last minute, the greater the chance that your deadline becomes difficult.

Check These Hidden Costs Before Paying

Two T-shirt quotes can initially look almost identical and still have very different final prices.

Before deciding which one is cheapest, check:

  • VAT: UK business pricing is sometimes advertised excluding VAT. Make sure you are comparing like with like.
  • Setup charges: Ask whether artwork or screen setup is included.
  • Artwork fees: Check whether there is a charge for cleaning up or recreating your design.
  • Delivery: A slightly cheaper shirt price can be cancelled out by an expensive courier charge.
  • Second-side printing: If you want something on the front and back, make sure the quote includes both.
  • Minimum quantities: There is little point in getting a fantastic unit price if you have to order 25 shirts when you only need 16.
  • Most importantly, check the artwork proof properly.
    • Read every word.
    • Check the date.
    • Check spellings.
    • Check names.
    • Get somebody else to look at it too.

Discovering that “Sophie” became “Sohpie” after 30 T-shirts have been printed is not a cheap mistake to fix.

Make Your T-Shirts Worth Keeping

Saving money is not just about paying less on the day. Getting more use from what you buy matters too.

WRAP’s Textiles Market Situation Report 2024 found that almost half of used textiles in the UK were being disposed of in general waste. That equates to around 35 unwanted textile items per person each year.

An event shirt covered in dates and enormous novelty slogans is always going to have limited use once the event is finished.

A smaller design, comfortable fabric, and no date can make a surprisingly big difference.

School shirts can potentially be reused.

Family reunion T-shirts can come out again next summer.

And a nicely designed hen party T-shirt can become something people genuinely wear again rather than something that spends three years at the bottom of a drawer before being thrown away.

The simplest way to save money on custom T-shirts is therefore also the easiest to remember:

Plan early, collect the sizes once, keep the artwork simple, and order something people will actually want to wear.

Get those four things right, and most of the savings take care of themselves.
